Position Overview
The Event Operations Assistant plays a vital role in supporting the planning and execution of various events. Reporting directly to the Event Manager, this position requires strong communication skills and a professional demeanor as the individual will collaborate with multiple stakeholders including staff, board members, and sponsors.

Key Responsibilities

  • Event Registration
    • Utilize the organization's CRM to establish registration pages, including managing fees and sponsor details.
    • Assist members with the registration process and handle invoicing inquiries.
    • Prepare and print name tags for attendees.
    • Generate and distribute attendance lists for events.
    • Update attendance records and invoicing post-event.
  • Major Event Support
    • Design seating arrangements for events.
    • Oversee the creation and distribution of event tickets.
  • Sponsorship Management
    • Maintain and update the sponsor history list.
    • Research and document past events to enhance the history list.
    • Monitor sponsor anniversaries and recognition opportunities.
  • Social Media Engagement
    • Develop social media content for upcoming events.
    • Create promotional posts for sponsors.
  • Email Communications
    • Compile event listings for newsletters.
    • Assist in the preparation of monthly event newsletters.
    • Conduct surveys to gather feedback for event improvement.
    • Schedule and create eblasts for significant events.
    • Submit events to third-party event calendars.
  • On-Site Event Assistance
    • Support the setup and breakdown of events.
    • Assist with registration and other logistical needs during events.
    • Help coordinate volunteer schedules and task lists.
    • Assist in acquiring door prizes and promotional items.
  • Additional Projects
    • Contribute to projects aimed at enhancing the registration process and researching ticketing options.
    • Perform other duties as assigned.
Qualifications
  • Minimum of 1 year experience in event planning or project management.
  • Familiarity with ticketing and CRM software.
  • Proficient in Microsoft Office Suite, including Outlook and Excel.
  • Experience with graphic design tools such as Canva.
  • General office administration and customer service skills.
  • Strong organizational and time management abilities.
  • Flexibility to work evenings and weekends as needed.
  • Excellent verbal and written communication skills.
  • Fluency in English; proficiency in French is an asset.
  • A valid driver's license is a plus.
Work Schedule and Compensation
  • This is a part-time role requiring approximately 15 hours per week, with flexible scheduling options available.
  • Compensation ranges from $20.00 to $25.00 per hour, depending on experience and qualifications.
