This is a unique opportunity to join our team as an Executive Assistant to the Vice President of Corporate Relations Stakeholder Engagement & Innovation. As a key member of our senior leadership team, you will provide high-level administrative support, ensuring the smooth operation of the business unit.

Key Responsibilities:
  • Administrative Support: Provide full executive administrative support to the Vice President, including preparation of confidential documents, correspondence, and reports.
  • Communication and Coordination: Communicate corporate or business unit priorities, information, or data to other members of the business unit management team, the business unit, or other stakeholders.
  • Meeting and Event Planning: Schedule, organize, and participate in senior management meetings, and make travel arrangements as needed.
  • Record-Keeping and Filing: Maintain files and record-keeping systems for the Business Unit, including filing and routing materials, correspondence, and incoming mail.
  • Financial Management: Coordinate preparation of the Business Unit budget, verify and process invoices, and review and verify credit card reconciliations.
  • Space Coordination: Coordinate space requirements for the business unit, attend meetings to represent the Business Unit on issues related to space planning and accommodation.
What You'll Be Doing:
  • Preparing Correspondence and Reports: Prepare correspondence and reports, including confidential documents, such as Board correspondence, position papers, and responses to grievances.
  • Research and Data Analysis: Research issues, gather and summarize data, statistics, or information, and provide input and take minutes of business unit meetings.
  • Travel Arrangements: Make travel arrangements for meetings and conferences, and anticipate and initiate action to conserve time commitments of the Vice President.
Requirements:
  • High-Level Administrative Experience: Proven experience in providing high-level administrative support to senior leaders.
  • Communication and Interpersonal Skills: Excellent communication and interpersonal skills, with the ability to build strong relationships with stakeholders.
  • Organizational and Time Management Skills: Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects.
