BRIEF DESCRIPTION

Reporting to the Project Manager, the Project Accountant will be responsible for providing comprehensive administrative and financial support to ensure the smooth execution of projects. This role will involve close collaboration with project managers, accountants, and other team members to manage documentation, budgets, schedules, and compliance requirements. The Project Administrator will play a crucial role in maintaining the integrity of project records and facilitating effective communication across teams.

KEY RESPONSIBILITIES

Administrative Support:

  • Maintain and organize project documentation, including contracts, permits, drawings, and correspondence.
  • Assist in the preparation and distribution of project reports, schedules, and updates.
  • Coordinate meetings, prepare agendas, and record minutes.
  • Ensure proper filing and retrieval of project documents and records.

Financial Management:

  • Assist with budgeting, forecasting, and financial reporting for projects.
  • Process invoices, purchase orders, and expense reports.
  • Monitor project expenditures and track budget variances.
  • Collaborate with project accountants to ensure accurate financial records and compliance with accounting standards.

Project Coordination:

  • Support project managers in the development and maintenance of project schedules and timelines.
  • Track project progress and milestones, providing regular updates to stakeholders.
  • Coordinate with subcontractors and suppliers to ensure timely delivery of materials, services and corresponding documentation.
  • Assist in the preparation and submission of project proposals and bids.

Compliance and Quality Assurance:

  • Ensure all project activities comply with company policies, safety standards, and regulatory requirements.
  • Assist in the preparation and submission of compliance documentation.
  • Conduct quality checks on project deliverables and report any issues or discrepancies.

Qualifications and Competencies:

  • Diploma or Degree in Business Administration, Accounting, or related field.
  • 3+ years of experience in project administration or project accounting, preferably in the construction industry.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and project management software.
  • Basic understanding of construction processes and terminology.
  • Attention to detail and a high level of accuracy.
  • Ability to work independently and as part of a team.
  • Familiarity with financial principles and accounting practices.

Working Conditions:

  • This is a full-time, salaried position with defined minimum work hours. Overtime may be required.
  • The role is primarily office-based with occasional field visits as needed.
