A highly organized and detail-oriented individual to provide administrative support in a mental health and substance use services team.
Responsibilities- Provide reception services, operating a multi-line switchboard, answering calls, taking messages, and directing visitors.
- Typing material, preparing documents, and maintaining filing systems, including confidential records.
- Collecting and entering data, compiling and retrieving information, and printing related reports.
- Setting up and maintaining filing systems, processing incoming and outgoing mail, and signing for receipt of packages.
- Maintaining office supplies, operating office equipment, and assisting with client intake.
- Assisting with timekeeping functions, arranging meetings and special functions, and performing general staffing duties.
- Coordinating off-site storage of records and archives, and maintaining a petty cash account.
- Grade 12 education, plus one year of recent related office/clerical experience or an equivalent combination of education, training, and experience.
- Ability to communicate effectively, deal with others, and exercise sound judgement.
- Ability to organize work, establish workload priorities, and take initiative.
- Ability to work independently and in collaboration with others, type 40 wpm, and use applicable computer equipment and software.
- Working knowledge of general office practices and procedures, comprehensive knowledge of relevant acts, regulations, programs, policies, and procedures.
- Valid BC Driver's License and access to a vehicle, physical ability to perform the duties of the position.
