The Assistant Property Manager will report to the Property Manager on the day-to-day activities for two A-Class office buildings located in downtown Calgary.

Responsibilities:

  • Assist Property Manager and Director/General Manager in tendering, selecting, contract preparation and supervising service contracts, including janitorial, snow removal, window cleaning, carpet cleaning, pest control, parkade cleaning, interior/exterior landscaping, parking, recycling, and waste removal.
  • Conduct frequent janitorial inspections of all buildings in portfolio
  • Regular site visits to all locations and inspect common areas for painting, signage and other requirements and repairs to maintain the buildings' 'AA' finishes and standards.
  • Administer all Tenant Work Permits.
  • Coordinate any changes/updates for QR Connect.
  • Complete monthly inputs of waste diversion information and Space Manager/Vacancy information into Real Data platform.
  • Oversee, implement and tracking of recycling programs in all buildings.
  • Act as the environmental coordinator for the buildings, assisting tenants with setting up in house recycling programs and advocating green initiatives in all buildings.
  • Prepare tenant notices for various maintenance related projects.
  • Provide analysis and explanation of variances of actual expenses compared to budgeted expenses for inclusion in the quarterly property reports.
  • Responsible for the preparation of year-end accruals in areas of responsibility.
  • Assist with annual budget preparation.
  • Assist with capital project management, where required.
  • Pre-approve invoices for service agreements and operational items.
  • Assist Property Administrators with preparation of tenant charge backs.
  • Respond to requests from Tenants, building staff, contractors, suppliers and outside agencies.
  • Ensure excellent tenant relations through personal contact and excellent customer service.
  • Assist with the day-to-day management of future development sites.
  • Provide property tours to tenants and consultants upon request.
  • Prepare and provide work order reports to tenants, building operations and select contractors as required.
  • Assist with planning & execution for tenant/building events.
  • Maintain an accurate record of tenant parking commitments on a quarterly basis.
  • Order uniforms for operations and shipping/receiving as required.
  • Assist Property Manager and General Manager with preparing submission for any industry certification programs such as BOMA BEST, LEED, Fitwel, etc.
  • Other duties as required.

Qualifications:

  • Experience - Minimum 5 years property and/or facilities management experience in commercial portfolios in a related position.
  • Education - Preference to post secondary in real estate and/or RPA/FMA or CPM designation.
  • Relationship/Leadership Skills - Able to communicate effectively and professionally, both oral and written; able to develop and sustain cooperative working relationships with colleagues, contractors, tenants and the public; self-motivated, professional and flexible.
  • Organizational/Multi-Task Skills - Able to allocate one's time effectively, work under pressure and manage tight deadlines; able to handle multiple demands and competing priorities, adapt to new ideas and constant changes; able to cope with changing client needs and deliver successful results within agreed upon timeframes; detail oriented.
  • Decision Making Skills - Able to resolve problems using facts and sound reasoning; able to achieve goals using a strategic approach; proven innovation with a willingness to manage and adapt to change.
  • Computer Skills - Intermediate knowledge of Word, Excel, Yardi, and Microsoft 365.
