About the Role

RioCan is a leading Real Estate Investment Trust (REIT) in Canada, with a portfolio of retail-focused properties in major markets. We're seeking an experienced Property Administrator to join our team, providing administrative support and ensuring smooth day-to-day operations of our properties.

Key Responsibilities
  • Assist Property Managers in collecting and entering monthly rents and tenant sales in our property management system.
  • Reconcile tenant accounts and prepare statements, ensuring accuracy and timeliness.
  • Provide administrative support to Property Managers, including maintaining tenant files, tracking vendor insurance, and updating utility accounts.
  • Prepare correspondence and distribute tenant letters as needed, ensuring clear and concise communication.
  • Record meeting minutes and assist in resolving tenant issues, including reviewing and interpreting tenant leases.
  • Assist in resolving day-to-day issues, providing additional support as required.
  • Maintain accounting and invoicing procedures, including processing supplier invoices and preparing monthly tenant service invoices.
  • Assist Property Managers with preparation and tracking of annual budgets, obtaining necessary reports.
  • Perform other duties and projects as required, contributing to the success of our team.
Requirements
  • College diploma or certificate in Office Administration.
  • Minimum 3 years of relevant experience in an administrative role, with exposure to Accounts Receivable/Accounts Payable.
  • Proven customer service and communication skills, with the ability to work effectively with tenants and internal stakeholders.
  • Strong computer skills, with proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Proven organizational skills, with the ability to meet deadlines and prioritize tasks.
  • Ability to work independently and as part of a team, with a focus on collaboration and communication.
  • Experience with property management systems, such as Yardi, is an asset.
