TalentSphere Staffing Solutions is seeking an Office Support Specialist to join a prominent commercial property management team. This role involves providing comprehensive administrative support to the Operations and Project Teams, ensuring efficient office operations. The ideal candidate will demonstrate exceptional communication skills and a professional demeanor while assisting management and visitors.

Key Responsibilities:Manage and direct incoming phone callsAct as a liaison between tenants, contractors, visitors, and security personnelDraft routine correspondence for the Property Manager and Operations staff, including tenant notificationsGenerate purchase orders and manage contractor disbursementsProcess invoices while ensuring proper documentation flowFacilitate supplier and contractor onboarding within the financial systemOversee office supply inventory and procurementMaintain accurate tenant contact databasesProvide timely and effective communication with clients and the publicMonitor service requests through maintenance softwareCross-train as a backup for the Property Services CoordinatorHandle internal and external mail distributionProcess rent paymentsAssist in meeting coordination and minute preparationManage building security requirements, including access cardsCoordinate maintenance for office equipmentServe as the backup Emergency WardenMaintain organized filing systems and service contract recordsSupport the Property Manager in preparing financial reports and budgetsQualifications:Strong verbal and written communication skillsAbility to multitask, prioritize, and maintain attention to detailExcellent customer service orientation and a positive attitudeMinimum of 3 years of experience in an administrative support capacity, preferably within real estatePost-secondary education in real estate, business, or administration is advantageousProficiency in Microsoft Office Suite and experience with procurement software is preferredMust obtain Reliability Security clearance prior to employmentCompensation:
The successful candidate will receive an hourly wage ranging from $20 to $27, commensurate with experience.
