Job Summary:
Trane has an exciting new opportunity to join our organization as a Project Administrator in our equipment group Ottawa, ON (or can be based out of any other Trane location in ON, QC, NB, and NS)
This role has been designated as hybrid. There is flexibility of location when workflow and priorities allow.
Office schedule 3 days a week (Monday, Wednesday, Thursday)
Under direct supervision, this position is responsible for routine project documentation, materials, task costing, condition monitoring, invoicing and administrative closure for each project. This position is required to interact closely with assigned project managers, business managers and other project staff to ensure the timely completion of each project.
Responsibilities include the following duties and others may be assigned:
Responsible for general administrative functions to support the equipment handling process.Helps order all material invoices associated with projects.Gets all BOMs, estimated shipping dates, and updates appropriate schedules.Helps update customers on estimated shipping dates.Process paperwork for service claims sales allowances, renovation and labor warranty.Assist in the processing of all job closure documents.Qualifications:
High School Diploma or GED and up to two (2) years of related experience and/or training; or an equivalent combination of education and experience.Must have strong communication skills, a proactive approach with the willingness to work independently as well as be part of a team.Bilingual required. Must be fluent in written and spoken English and FrenchAbility to multi-task and work well in a teamProven experience prioritizing tasks to meet tight deadlines in a fast-paced environment.Knowledge of HVAC operations preferred, not required.Flexibility to work overtime/weekends as needed.We offer competitive compensation and comprehensive benefits and programs. Ce rôle a été désigné comme hybride. Il existe une flexibilité d'emplacement lorsque le flux de travail et les priorités le permettent.
Horaire en bureau 3 jours par semaine (lundi, mercredi, jeudi)
Sous supervision directe, ce poste est responsable de la documentation courante du projet, des matériaux, de l'établissement des coûts des tâches, de la surveillance de l'état, de la facturation et de la clôture administrative de chaque projet. Ce poste est nécessaire pour interagir étroitement avec les gestionnaires de projet, les gestionnaires d'affaires et les autres membres du personnel de projet affectés afin d'assurer l'achèvement en temps opportun de chaque projet.
Les responsabilités comprennent les tâches suivantes et d'autres peuvent être assignées :
Responsable des fonctions administratives générales pour soutenir le processus de traitement de l'équipement.Aide à commander toutes les factures de matériel associées aux projets.Obtient toutes les nomenclatures, les dates d'expédition estimées et met à jour les horaires appropriés.Aide à mettre à jour les clients sur les dates d'expédition estimées.Traiter les documents pour les indemnités de vente de réclamations de service, la rénovation et la garantie de main-d'œuvre.Aider au traitement de tous les documents de clôture d'emploi.Qualifications requises :
Diplôme d'études secondaires ou GED et jusqu'à deux (2) ans d'expérience et / ou de formation connexe; ou une combinaison équivalente d'études et d'expérience.Doit avoir de solides compétences en communication, une approche proactive avec la volonté de travailler de manière indépendante ainsi que de faire partie d'une équipe.Bilingue requis. Doit parler couramment l'anglais et le français à l'écrit et à l'oral afin de répondre aux client a travers la canada et doit à l'ocassion communiquer avec le siege social au États-UnisCapacité à effectuer plusieurs tâches et à bien travailler en équipeExpérience éprouvée de la priorisation des tâches afin de respecter des délais serrés dans un environnement à haut rythme.Connaissance de l'exploitation des systèmes CVC préféré, pas requis.Flexibilité pour faire des heures supplémentaires / week-ends, au besoin.Nous offrons une rémunération concurrentielle et des avantages sociaux et des programmes complets.
