Project Coordinator in Construction Management

Project Administration Assistant
Reporting directly to the Chief of Project Administration, the Project Administration Assistant will work closely with project managers to deliver essential support for administrative functions and communications necessary for construction initiatives, adhering to established protocols and timelines.
Key Responsibilities:
- Facilitate communication among the administrative team, construction sites, and subcontractors.
- Oversee the processes for site openings and closures, including the preparation of technical documentation.
- Coordinate follow-up actions with subcontractors.
- Prepare and document purchase orders and contracts related to projects.
- Ensure that plans are accessible to subcontractors through Procore.
- Manage monthly billing requests from subcontractors.
- Handle incoming calls and take messages as needed.
- Format documents to align with company and project standards, and perform clerical duties (including purchase orders, correspondence, filing, meeting notes, etc.).
- Execute other related tasks as required.
Qualifications:
- DEC or AEC in Administration or a comparable combination of education and experience.
- Minimum of 3 years of relevant experience in project administration, ideally within the construction or real estate sectors.
- Proficient in Microsoft Office applications.
- Familiarity with Procore software is advantageous.
- Strong verbal and written communication skills.
