Summary

We are seeking a motivated Administrative Assistant for a full-time permanent contract position to join our team. You will be responsible for handling administrative tasks such as managing the team's schedule and handling correspondence. You will also assist the HR function by supporting hiring logistics and internal coordination as needed. This is a hybrid role requiring you to work onsite at our downtown office in Victoria, BC, at least half of the week, with the flexibility to manage the remainder of your work activities independently in a remote setting. Please note that this is a contract position and not local employment.

Responsibilities

Administrative responsibilities

  • Manage scheduling, including coordinating meetings, appointments and travel arrangements for team members and ensure schedules are updated and communicated effectively
  • Handle emails and correspondence, including responding to inquiries and managing incoming and outgoing mail and shipment
  • Perform general administrative tasks, such as filling and maintaining records
  • Maintain an organized and clean office environment
  • Take on project management tasks as needed and assist with special projects

HR support

  • Coordinate with team members and recruiters to develop job descriptions for open positions
  • Post job advertisements on various platforms
  • Screen resumes and CVs to shortlist candidates
  • Conduct initial assessments of applicants
  • Schedule interviews for candidates and team members and communicate interview schedules to all parties

Requirements

  • Proficiency in Google Workspace
  • Excellent problem-solving and analytical skills
  • Working experience as Administrative assistant or/and in Human resource would be plus
  • Experience in using project management tools for tracking tasks and progress
  • Excellent communication and presentation skills to collaborate with other team members
  • Strong independency to manage own work activities
  • Located in Victoria BC
