Administrative Assistant

One of our clients, a major oil and gas company, has tasked us with finding an Administrative Assistant to work in Cold Lake, AB, for a 12-month contract. The successful candidate will provide essential administrative and payroll support, ensuring smooth office operations, including scheduling, correspondence, data management, and coordination of meetings.
Main Functions & Responsibilities
Provide general administrative support, including typing, filing, and record keeping.
Answer and direct phone calls, take messages, and assist with inquiries.
Schedule meetings, manage calendars, and coordinate conference room bookings.
Assist with sorting and distributing mail and maintaining office supplies.
Process payroll data and maintain timekeeping records using Kronos.
Compile, retrieve, and report data for special projects as needed.
Support meeting coordination, including preparing agendas and materials.
Maintain confidentiality when handling sensitive employee and payroll information.
Work with moderate supervision, identifying issues and escalating when necessary.
Skills & Qualifications
Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
Hands-on experience with Kronos timekeeping systems.
Strong verbal and written communication skills.
Excellent organizational and multitasking abilities.
Ability to prioritize tasks in a fast-paced environment.
Professional demeanor with a strong attention to detail.
