Client Services Administrator

Our client within private wealth management requires a Client Service Administrator to join their team. As a Client Service Administrator, you will be processing trades, setting up new accounts for clients, processing transfers and other client requests. You will assist with calendar management, managing advisor emails, providing support on growth opportunities and giving support to the advisors that are part of the team. You will ensure all clients’ requests are processed and followed up, executing all administrative tasks to the highest quality standards. You will be responsible for assisting advisors in managing client portfolios, preparing financial reports and presentations, conducting market research, processing transactions, and providing exceptional client service.
To be successful as a Client Service Administrator you should be detailed oriented with excellent customer service skills and the ability to work collaboratively within a team environment. You should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. Previous financial services experience is a must. Completion of CSC and CPH preferred.
Responsibilities:
- Order Processing/follow up - back up person for mutual fund trades
- Back up for form preparation – new and existing clients (SmartDox, DocuSign, etc)
- Main processing person for trades requiring a Client Service Administrator (APP tool changes, stock & ETF trades)
- Signature guarantee alternate
- Processing CIUFs/ NAAFs
- Account opening process
- Adding prospects/clients to Navigator
- Adding clients, accounts and KYCs to Action
- Account Transfers (in kind, in cash)
- Inbound client requests (PAC, SWP, address update, beneficiary change, etc.)
- Trades and transactions – deposit, withdrawal, overdraft, LOI, wire, etc.
- Cheque log, bank deposits and post/courier responsibilities
- Proactive client contact (RRSP contributions, TFSA contributions, tax receipts)
- Respond to client calls and emails same day during business hours
- Review meeting notes – coordinate with team members and complete tasks assigned to you
- Back up person for meeting preparation and for Total Client Profile
- Assist with COI reports, client events, ‘opportunities pipeline’
- Attendance at in-person events
- Email management
- Additional meeting preparation or meeting follow up
