Client Service Associate – Wealth Management

Sage Recruiting is working with an established wealth management and investment publishing firm with over 25 years of experience in subscription marketing and independent portfolio management, managing close to $1 billion in assets and continuing to grow. Our client is actively seeking a Client Service Associate with strong relationship management skills to deliver high-quality service to high-net-worth clients and contribute to the organization’s growth. The ideal candidate will have at least three years of experience in a similar role within a wealth or asset management firm.

As the Client Service Associate, you will be the first point of contact for client calls and email inquiries, maintaining professionalism and building rapport with each interaction. You will support clients with their account needs while collaborating closely with the Wealth Management team to ensure smooth operations and an enhanced client experience. This role requires a customer-focused, motivated individual who can manage multiple client requests and provide timely resolutions.


Key Responsibilities:

  • Handle all inbound wealth management phone calls and email inquiries.
  • Manage and prioritize client inquiries, troubleshooting and escalating as needed to ensure timely and accurate resolutions.
  • Build long-lasting relationships by providing exceptional client support.
  • Develop expertise in the client’s wealth management services, procedures, and paperwork.
  • Provide first-line response to client inquiries, including new account setup, RRSP/RRIF, LIRA/LIF conversions, and tax inquiries.
  • Assist clients with general account questions, online access issues, and account updates.
  • Initiate processes for account transactions, including withdrawals and contributions.
  • Record and update client information in the CRM database.
  • Assist the Wealth Management team with client onboarding and administrative tasks.
  • Prepare materials for client meetings and coordinate mailouts such as invoices and client letters.


Requirements:

  • Bachelor’s degree in business or a related field.
  • 2-3+ years of customer service experience within finance domain
  • Strong knowledge of the investment industry and best practices.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Word and Excel.
  • Completion of the CSC (Canadian Securities Course) is an asset but not required.
  • Ability to manage multiple tasks, solve problems, and prioritize client inquiries.
  • High attention to detail, punctuality, and dependability.
  • Ability to work well in a hybrid environment combining remote and in-office work.
