Remote Client Service Associate / Administrative Assistant

Position Overview: We are seeking a dedicated and organized Client Service Associate / Administrative Assistant to join our fully remote team. This full-time role offers the opportunity to support financial professionals in delivering exceptional client service and administrative support. Yearly bonuses are available for strong performance.

As a key team member, you will play an important role in ensuring smooth communication between clients and advisors, managing client accounts, and maintaining accurate records. Daily tasks will be assigned by the Operations Manager based on priorities.

Key Responsibilities
  • Provide clear and professional email communication with team members, clients, and third parties.
  • Prepare client account opening documents for personal and corporate accounts.
  • Execute trade orders received via email or as directed by advisors.
  • Create templates and complete forms using DocuSign in a timely manner.
  • Document investment transactions with clear and accurate notes.
  • Track fund movements across client accounts using internal systems.
  • Monitor accounts for compliance and KYC (Know Your Client) requirements.
  • Maintain and update internal CRM systems with client information.
  • Manage incoming transfer processes and communicate with financial institutions to ensure completion.
  • Assist with paperwork related to investment management and client accounts.

Qualifications & Skills:
  • Minimum of 2 years of administrative experience.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Experience with digital forms, DocuSign, and client onboarding processes.
  • Strong customer service skills with the ability to engage professionally with clients via phone, email, and video calls.
  • Excellent organizational skills with the ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Detail-oriented approach to ensure accuracy in paperwork and documentation.
  • Familiarity with the investment and insurance industry is an asset.
  • Investment licenses are a plus but not required.
  • Strong adaptability to new websites, applications, and internal systems.
