Job Description:

We are looking for an experienced Real Estate Executive Assistant to support our property management operations. The ideal candidate will have a minimum of 2 years of experience working with MLS data uploading and the Toronto Real Estate Board. You will play a crucial role in ensuring the smooth and efficient operation of our real estate transactions and property management activities.


Key Responsibilities:

  • Assist with the daily operations of property management, including communication with tenants, landlords, and service providers.
  • Upload and manage MLS data, ensuring accuracy and compliance with Toronto Real Estate Board standards.
  • Prepare and organize real estate documents, contracts, and agreements.
  • Coordinate property listings and showings.
  • Maintain and update property management databases and records.
  • Conduct market research and analysis to support property management decisions.
  • Provide administrative support to the property management team, including scheduling, correspondence, and file/key management.
  • Handle inquiries from landlords, tenants, vendors and real estate salespersons in a professional and timely manner.
  • Handling all key-related tasks, including preparing keys for move-ins and onboarding new tenants.
  • Maintaining the cleanliness of the kitchen and common areas, managing grocery orders, and coordinating with the office's property manager for maintenance requests.
  • Perform other duties as assigned to support the efficient operation of the property management department.

Qualifications:

  • Minimum of 2 years of experience working with MLS data uploading and the Toronto Real Estate Board.
  • Strong knowledge of real estate principles, practices, and property management.
  • Excellent organizational and time management skills.
  • Proficient in Microsoft Office Suite (Word and Excel).
  • Strong attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • High level of professionalism and discretion.
