PURPOSE:
Process payroll and provide administrative support to ensure accurate and timely payments and full cycle accounting.

RESPONSIBILITIES:

  • Process payroll within ERP system (Viewpoint).
  • Manage time capture system (WorkMax).
  • Provide administrative support and data entry where necessary.

DUTIES:

Process payroll within ERP system (Viewpoint)

  • Ensure timely and accurate payments to employees.
  • Prepare and submit after approval of payroll for hourly and salary staff on a biweekly schedule using direct deposit method and distribute paystubs.
  • Update employee information relating to pay period with company ERP system.
  • Submit record of employments (ROEs) and provide termination cheques for released employees.
  • Reconcile and administer T4s for personnel and WCB insurance premiums within legislative requirements.
  • Process forms such as Records of Employment and Revenue Canada Reports.
  • Protect private and confidential information in accordance to legislation and company requirements.
  • Compile statistical reports, statements, and summaries related to pay and benefits accounts.
  • Process manual cheques and reversals as required.

  • Ensure accurate payroll and job costings.
  • Process weekly/daily time cards using time capture system.
  • Track employee hours worked and submit for hourly employee benefit plan.
  • Followup with approvers to ensure time is being submitted and approved daily.

Provide administrative support and data entry where necessary.

  • On offpayroll weeks providing assistance in other functional roles including but not limited to accounts payable, accounts receivable, bank / credit card reconciliations and other general accounting.

REQUIRED QUALIFICATIONS:

  • Minimum of 35 years of experience in payroll administration.
  • Professional certification in payroll administration (e.g., Canadian Payroll Association Certification) is an asset.
  • Proficiency in using payroll software, particularly ERP systems like Viewpoint.
  • Experience managing time capture systems, such as WorkMax, is highly desirable.
  • Demonstrated experience in processing payroll accurately and on time, including direct deposit methods and issuing pay stubs.
  • Familiarity with Canadian payroll regulations, including ROEs, T4s, and legislative requirements.
  • Experience with reconciling payroll accounts.
  • Proven ability to handle confidential information with discretion and integrity.
