Shared Health leads the planning and coordinates the integration of patient-centered clinical and preventive health services across Manitoba. The organization also delivers some province-wide health services and supports centralized administrative and business functions for Manitoba health organizations.
Position Overview
Reporting to the Administrative Assistant in Occupational Therapy, the incumbent is responsible for the efficient, effective provision of clerical support for Child Health Occupational Therapy (OT) and Physiotherapy (PT). Duties include:
Acting as Receptionist, greeting and directing patients and their families, overseeing the waiting area and scheduling appointments. Answering the main telephone line and voice mail box of the Department, making and changing patient appointments, directing calls to the appropriate individual, and taking and relaying messages, etc. Receiving and processing inpatient and outpatient referrals. Providing clerical support to the Child Health OT and PT staff including filing, copying, ordering required materials and supplies, booking rooms, scheduling meetings, word processing, etc.Experience
One year related office and reception experience required, two or more years preferred. Previous secretarial experience in a health care setting with experience with EPR and Accuro systems preferred.Education (Degree/Diploma/Certificate)
Complete high school education, Manitoba standards, required. Successful completion of a recognized secretarial training program required. A combination of education and experience will be considered.Certification/Licensure/Registration

Qualifications and Skills
Must have excellent interpersonal and English communication skills, both written and oral. Typing 50 wpm and medical terminology required. Demonstrated proficiency in the use of Microsoft Office including Word, Excel and Access required. Knowledge of Occupational Therapy and Physical Therapy services offered would be an asset. Preference will be given to those applicants competent in an Indigenous language and/or knowledge in Indigenous customs, traditions and values.Physical Requirements
Reception location is a high traffic area and interaction with the public and professional staff in person and by telephone is continuous. Frequent interruptions of ongoing activities are required to assist clients or staff members; must be able to deal with interactions and interruptions in a courteous and effective manner.
