Reporting to the Manager, Corporate Education and consistent with the Mission, Values and policies of St.
Amant, the Bilingual Administrative Assistant, Corporate Education is a critical role in ensuring the success of St.
Amant business and operations.

The Bilingual Administrative Assistant, Corporate Education provides a broad range of corporate education support services.

Qualifications:

Educational:

  • Grade XII diploma or certificate
  • Secretarial training, community college or career college level with emphasis in computer and office skills
  • Computer and/or HR related courses are an asset
  • Two (2) years' experience in working in a service area providing Staff Education and Development
  • Training in Adult Education theory and practice an asset
  • Experience with online/virtual learning platforms an asset

Professional:

  • Two (2) years' previous experience as an executive assistant, administrative assistant or secretary providing a broad range of administrative/secretarial services
  • Advanced oral proficiency in French is required. French language testing will be a requirement with a minimum B+ grade level in Speaking & Listening. This level implies that the incumbent can understand and communicate in French when required
  • Experienced and knowledgeable in the use of the full range of modern office equipment
  • Strong computer capabilities in Quadrant and other online/virtual platforms.
  • Strong organizational, time management and communication skills (written and oral)
  • Experience in producing accurate and attractive professional documentation/materials
  • Experience in creating and maintaining standard templates and forms
  • Experience working with employees and the public and in an effective and professional manner

Duties and Responsibilities:

Program Service and Support:

Consistent with the Mission, Philosophy and Policies of St.
Amant, the Bilingual Administrative Assistant, Corporate Education provides a broad range of quality administrative support activities.

Quality services are evident when professional communication, timeliness, accuracy, ethical awareness / sensitivity, and confidentiality are consistently demonstrated as required by legislation and program/service standards.


Duties include:

  • Compiles produced material into its final distribution format including compiling binders, binding reports, labelling binders, etc.
  • Proofreads typed material, amending material as required/directed
  • Provides photocopy, fax, departmental mail and electronic mail services
  • Maintains the Quality Indicator reporting requirements
  • Circulates/distributes material to staff and service areas for their review
  • Compiles information from different platforms, for the intranet, internet and the training calendar
  • Converts documents, videos, and information to easily accessible formats for a variety of users
  • Develops databases (computer or manual) and enters and maintains Quadrant Corporate database
  • Under the direction of the Manager, schedules training and meetings, advising participants of relevant information, booking meeting sites, catering and equipment
