As an Administration Assistant you will:
- Work closely with the Director of Workplace Operations and Executive Assistant to support day to day office operations
- Welcome guests to the HPA studio
- Ensure that the reception area is kept neat and welcoming
- Answer, screen, and forward calls to the appropriate contacts
- Assist with scheduling meetings and booking boardrooms
- Prepare boardrooms for meetings including serving refreshments and tidying boardrooms after meetings conclude
- Receive deliveries and incoming mail as well as coordinate outgoing packages and mail
- Assist with general office and kitchen maintenance
- Assist with catering
- Be responsible for taking inventory of office supplies (stationary and refreshments)
- Support the Director of Special Projects as needed
- Perform adhoc duties as required
- Assist with planning and executing office social events, activities and outings
As an Administration Assistant you have:
- 3+ years of experience in an Administration or reception role
- Experience with servicing Executives / Csuite
- Experience in customer service / client relations role
- Exceptional client experience and communication skills
- Proficiency in MS office suite
- Demonstrated ability to meet deadlines in a fastpaced, quickly changing environment
- Demonstrated ability to manage frequent interruptions
- A proactive approach to problemsolving
- Ability to travel around the GTA for occasional errands (company transportation will be provided)
- Ability to work independently and excel with littletono supervision
- Excellent organization & planning skills, attention to detail and decision making
- A diploma or a bachelor's degree in a related field
