Founded in 1968, Gateway Mechanical is a private owned company that has established itself as a leader in the commercial and industrial refrigeration, heating and air conditioning industry (HVACR).

Attending to 40,000+ service calls per year, Gateway is the largest HVAC & Refrigeration service provider in Western Canada.

Our model is comprised of local branch teams with fully qualified personnel representing HVAC, refrigeration, plumbing/gas fitting, sheet metal and electrical trades.

These teams are supported by centers of excellence including professional engineers and project managers which ensures Gateway's full technical capability is available for every project and service call.

The Project Buyer is responsible for participating in the procurement lifecycle, with a primary focus on the creation, tracking and receiving of purchase orders (POs) for the Projects Team in the ERP system.

The Project Buyer performs a highly transactional role where attention to detail is paramount. Other tasks included, quoting, supporting bid process and sourcing materials for construction projects.

Responsibilities:

  • Source suppliers based on price, availability, and quality of materials;
  • Send RFQ requests to vendors;
  • Create RFQ (requisitions) and issue purchase orders in the ERP system;
  • Support Project Management Office (PMO) in reviewing, analizing, and selecting bids;
  • Track and receive Purchase Orders in the ERP system;
  • Generate POs for field team members;
  • Compare invoices against purchase orders and shipping and receiving documents to verify receipt of items ordered;
  • Communicate with vendors, the Accounts Payable Team, and other internal stakeholders to coordinate and resolve invoicing and/or PO discrepancies;
  • Compile data from vendor invoices and other supporting documents to verify accuracy of billing data and to ensure receipt of items ordered;
  • Frequent communication with field technicians in a time sensitive environment with a patient empathetic mindset;
  • Contact suppliers regarding errors in partial or duplicate shipments, prices, and substitutions;
  • Monitor & control Promise Dates (ETA's) in the ERP System;
  • Communicate all delays or variances of inbound freight to the appropriate parties;
  • Investigate causes of lost or damaged shipments and other matters, making adjustments or conduct negotiations as necessary;
  • Performing stock transfers from Gateway's inventory to service work orders;
  • Ensure the strict confidentiality and privacy of financial records as they relate to the organization and its business partners;
  • Prepare reports as required by department or senior management;
  • Participate in and contribute to the identification of areas of improvement and standardization;
  • Manage and participate in updates to the ERP system as required;
  • Cross functional training as required; and
  • Other duties as assigned.

Requirements:

  • Minimum of 2 years experience in procurement, supply chain, or a related field;
  • Post secondary education in a related field (supply chain management or business administration) is an asset;
  • Excellent computer skills including intermediate level in Excel, Outlook, and Word;
  • Basic understanding of accounting/inventory principles;
  • Customer serviceoriented mindset and good interpersonal skills required for relationship building; and
  • Team centered attitude.
