Overview:
We are seeking a proactive and dynamic individual to join our property management team as a Receptionist/Administrative Assistant.

The ideal candidate will be the first point of contact for our office, providing exceptional customer service to tenants, visitors, and vendors while also assisting with various administrative tasks as needed.

This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced environment.

Responsibilities:

  • Greet visitors, tenants, and vendors in a professional and friendly manner.
  • Answer and direct incoming phone calls promptly and efficiently.
  • Manage incoming and outgoing mail and packages.
  • Maintain a clean and organized reception area.

Administrative Support:

  • Provide adhoc administrative support to property managers and other team members.
  • Assist with data entry, filing, and document management.
  • Schedule appointments, meetings, and conference rooms as needed.
  • Prepare correspondence, reports, and presentations.
  • Coordinate office supplies and equipment maintenance.

Tenant Relations:

  • Address tenant inquiries and requests promptly and courteously.
  • Maintain tenant records and update contact information as needed.
  • Assist with the coordination of tenant events and communications.

Vendor Coordination:

  • Maintain vendor contact information and update records as necessary.
  • Assist with the processing of vendor invoices and payments.

General Office Support:

  • Assist with special projects and initiatives as assigned.
  • Collaborate with team members to ensure smooth office operations.
  • Uphold company policies and procedures at all times.

Qualifications:

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Previous experience in a receptionist or administrative role, preferably in a property management or real estate environment is preferred.
  • Excellent verbal and written communication skills.
  • Strong interpersonal skills and the ability to interact professionally with diverse individuals.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to prioritize tasks and manage time effectively.
  • Detailoriented with a focus on accuracy and efficiency.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
