The Role:
Executive Assistant


Who are you?
As an Executive Assistant, you will support the needs of Svante's 14-member Senior Management Team.

You will assist a large and dynamic group of Executives, some local and some remote, as they drive Svante to commercial and climate success.

You will be the first point of contact for the Senior Team in assisting with their daily work needs.

You will need to be patient, diligent, driven, and kind, as you respond to a wide variety tasks and activities.


Required Skills and Qualifications

  • You have five plus years experience in an Executive Assistant role in a fastpaced environment.
  • You are a team player with exceptional interpersonal skills.
  • You have strong organizational abilities with a keen eye for detail to ensure that all tasks are completed to the highest standard.
  • You have excellent communication skills, both verbal and written.

Bonus Skills and Qualifications

  • You have strong project management skills, with the ability to manage multiple projects simultaneously.
  • You are adaptable, able to prioritize tasks effectively, and work well under pressure.
  • You must be comfortable interacting with individuals at all levels of the organization.
  • You are able to work collaboratively with crossfunctional teams.

What Success looks like in this role

  • You will schedule appointments, meetings, and events, and keep track of important dates and deadlines.
  • You will make travel arrangements, including booking flights, hotels, and rental cars, and create detailed itineraries.
  • You will prepare agendas, letters, briefing materials, and presentations for meetings, as well as take minutes and follow up on action items.
  • You will assist in the planning of board and investor meetings, Senior Management Team meetings (internal and offsite), supplier meetings, customer meetings, and meetings with other stakeholders. Assist in the distribution of meeting materials and followup documents.
  • You will manage budgets, processing expenses and reconciling company credit card statements
  • You will work closely with the Office Manager and Facility Manager to ensure a comfortable and productive workspace for employees.
  • You will participate in a variety of special projects including joining various Svante teams and committees (safety, social, environment, etc.)
  • You will perform various administrative tasks, such as ordering food, office supplies, equipment, etc. as necessary to support the Senior Team.
