What responsibilities will you have in this role?

  • Provides logístical and information management support for the Office of the Dean.
  • Responds to inquiries from staff, students, and public by providing support through inperson and online presence.
  • Acts as a confidential notetaker and support for issues and committees for issues and committees involving the Dean; prepares briefing notes and correspondence as required.
  • Organizes and coordinates project meetings, documents and related planning for the Dean, the division and collegewide that arise from the Dean's participation.
  • Manages the Dean's calendar and schedules meetings and prepares task lists and required documents.
  • Prepares and creates reports, agendas, distributing communication and materials, and minutetaking as required.
  • Drafts specialized office forms, correspondence, reports, and presentation decks and ensures they're filed appropriately.
  • Acts as central point of contact for all academic agreements in the Division.
  • Liaises and responds to inquiries with partners, other departments/divisions at the college, in support of partnerships.
  • Organizes schedules, meetings, and events and prepares and provides briefing notes and information as required.
  • Works closely with the Dean and Senior Manager, Divisional Operations & Strategic Initiatives to support business, strategy and budget planning cycles by coordinating meetings and providing project support and compiling information from various sources as required (e.g., Banner, reports, alumni records, convocation lists, etc.).
  • Ensures document management of accreditation evidence, program renewal evidence and accreditation communications are stored and managed in SharePoint.
  • Provides administrative support to the Manager, Student Success including activities that engage students (e.g., sets up and supports student engagement booths at fairs, divisional days and student orientation events); orders supplies, and reconciles expenses.
  • Other related duties as assigned.

What qualifications do you need for this role?

  • Threeyear diploma/degree from a recognized postsecondary institution in Business, Office/Administration or employmentrelated field.
  • Minimum five years progressive administrative experience supporting leader and projects administrative work at a senior level.
  • Experience working in customer and/or studentrelated industries.
  • Ability to work with diverse populations within an equity, diversity, and inclusion lens.
  • Demonstrated ability to exercise initiative and work independently, provide professionally written communication to draft reports.
  • Effective interpersonal skills, excellent organizational skills and ability to prioritize and meet deadlines in a fastpaced academic environment.
  • Must maintain a high level of confidentiality and handle information with discretion.
  • Strong communication, planning, project management, and teamwork skills.
  • Ability to life up to 20kg or 44lbs (i.e., computers, office supplies, filing boxes, materials for events, etc.)
  • Demonstrated commitment in delivering excellent service in supporting the success of students and College employees.
  • Flexibility in adapting to change and in participating in consultative decisionmaking processes.
