Georgian College's Advancement and Alumni Relations department maintains strong relationships with a variety of constituents to inspire support and engagement.


The department is organized into four integrated units:

Major Gifts, Partnerships and Sponsorships; Alumni Engagement, Annual and Legacy Giving; Donor Relations and Operations; and, Conference and Event Services.


  • Reporting to the Associate Director, Engagement, the Alumni Engagement Associate will serve as a key support in the coordination, implementation, monitoring/tracking, and reporting/evaluation of Georgian's alumni engagement programs and services.

Specific duties include, but are not limited to:

  • Maintaining ongoing relationships with a large number of alumni and coordinates with team members, as well as other departments and academic programs to coordinate engagement strategies and new opportunities
  • Working closely with academic units to support alumni engagement in such a range of activities including academic orientation, classroom speaking, etc.
  • Securing alumni for volunteer opportunities with service units, student organizations, etc. as they are identified collegewide and in the community
  • Working diligently to ensure constant and consistent improvement of alumni information and reactivate alumni relationships with Georgian where there has been a lapse in contact or other reason
  • Coordinating and executing all the daytoday tasks associated with the alumnitostudent mentorship program, including:
  • coordinating the annual recruitment of alumni volunteers to participate in the program (communications, research, coding in database, coordinate volunteer engagement)
- coordinating the volunteer mentorship training (for both alumni and students)
- assisting with partner communications as it relates to mentor engagement and to the delivery of a best practice alumni and student experience
- assisting with program administration matters as directed
- performing data entry needs for mentor prospects including coding/ segmentation in the Raiser's Edge database
- providing regular support and maintenance to the Georgian Alumni Network online platform to ensure platform effectiveness and grow participation (including creating records, special groups, adding articles, linking mentors and mentees, running reports, testing electronic matching functionality, etc.)

  • Coordinating all logístical details for events (timing, location, liaison with event planning staff, invitation, collection of RSVPs, data entry, event volunteers, setup/tear down, event materials)
  • Collaborating and coordinating with other department units to ensure alumni awareness and engagement in key events, where appropriate
  • Creating event marketing materials/branding and effective cause messaging for alumni engagement opportunities
  • Ensuring discount partners and associated benefits are captured and promoted appropriately on the association website, social media channels, the Georgian Alumni Network, and anywhere else deemed appropriate
  • Ensuring the expectations associated with partner agreements are met by the college and partners
  • Reviewing requests to join the network, qualifying against access criteria and approve/deny access as appropriate
  • Monitoring job board, and add/remove opportunities as needed
  • Ensuing events module is populated as needed
  • Providing support to alumni, students, staff, faculty and other partner groups as needed

QUALIFICATIONS:

  • Successfully completed a twoyear diploma in Business, Marketing, Fundraising or a relevant field of study
  • A minimum of two years' experience working in an advancement and/or alumni relations or in a member relations (notforprofit) capacity
  • Completion of a postgraduate oneyear program in fundraising or an advancementrelated function (i.e. event management, digital or direct marketing) is an asset
  • Database/CRM experience
  • Experience working with the Raiser's Edge/NXT
  • Experience in a position requiring skills in multitasking and prioritizing
  • Proven communication skills (written and oral) in order to write and edit material
  • Demonstrated attention to detail ensuring a high level of accuracy
  • Demonstrated ability to analyze situations and problem solve quickly
  • Demonstrated experience working with confidential information
  • Proven ability to work independently as well as within a team environment
