JOB DESCRIPTION

Duties:

  • This position will provide comprehensive, confidential administrative support to the Director
  • Generation System Operation (GSO) located at Edmonds
  • Key administrative accountabilities include: maintaining, coordinating and integrating calendar
schedules; meeting minutes and action items; preparing presentations; booking and managing
- meetings and conference calls logistics; managing confidential correspondence to ensure all items
- are prioritized and dealt with in a timely manner; arranging travel plans, maintaining files and
- providing back up materials prior to all meetings including the retrieval of materials and
- preparation of agendas; prioritizing, managing, and communicating deadlines/action items;
- support for GSO including ordering monitors, safety equipment, and other equipment.
  • Onboarding coordination for new hires including first day safety orientation, entering service now
tickets for items such as VPN/Soft tokens, building and computer access.- Responsible for the updates to the GSO Org Charts, uploading GSO Emergency Plans into

Filenet, update phone lists and coordinate the J:drive access approval requests.- Coordinating the flow of information between the Director, direct reports and extended team;
liaising with the Executive office and other Business Group's office; following up on outstanding
- action items; preparing/drafting reports, letters, meeting agendas, and presentation material for
- distribution; GSO event planning, catering and logístical support as required.
  • Administers departmental financial functions for Time and Labour, Expenses Online, and SAP
and ensures managers approve in compliance with polices and time-lines.- Maintaining the Director's office SharePoint site, including site layout, access requests and

compliance. Web Authoring skills may also be required for maintenance and updating of team

  • Hydroweb pages.
  • Coordinating office space requirements and managing the inventory and ordering of office
equipment for the GSO team.- Working with other administrative staff as needed on processes and procedures within GSO.

  • Key Safety Person for office staff including coordination of developing Annual Safety Plan, HIRA,
GSO Safety Training requirements and the progress of our Annual Safety tasks.

  • For this role, knowledge of SAP is important to support the Director and direct reports with time
and labour, back up for GSO contract admin to create Purchase requisitions and Service Entry
sheets in SAP as well as management reporting and expense procedures.

Qualifications:

***- Post-secondary education plus three to five years administrative experience at a senior level


performing a range of diverse, confidential, administrative practices and procedures.- Initiative and a solution-oriented approach to day to day challenges.

Ability to maintain

professional working relationships with the GSO team, all levels of staff within BC Hydro, and
- external organizations, as well as the ability to act independently with a high degree of judgment,
- discretion, and diplomacy particularly in dealing with confidential or sensitive matters.
  • Strong organizational and time management skills with proven ability to work in a fast paced,
complex environment and multi-task, prioritize and adapt easily to shifting and/or conflicting
- deadlines and priorities.
  • Superior oral and written communication skills and demonstrated ability to make appropriate
decisions with little or no guidance referencing prescribed guidelines.- and J-Drive; visio.- Knowledge of BC Hydro an asset.
