This is a 6-month temporary role with a chance for extension.

The Office Manager should possess a solid background in administrative support to oversee office tasks effectively.

Location

This role is based at our Burnaby District Office on a full-time basis.

Responsibilities

Office management, involving:

  • Operating the main reception desk – welcoming visitors and guiding them as required
  • Answering the main office line promptly and professionally
  • Receiving and directing incoming mail and packages
  • Aiding in maintaining a tidy and efficient office space, including kitchen and boardroom areas
  • Keeping track of office supplies and unpacking deliveries
  • Handling office desk/computer setups, stationery supplies, as well as access passes and security FOBs
  • Managing internal cloud storage/data systems (SharePoint, OneDrive) by organizing and handling online folders as needed
  • Reviewing and formatting presentation materials when necessary

Coordinating meetings and events, including:

  • Assisting in scheduling conference room bookings
  • Arranging dining reservations and receiving catering orders for internal and external business meetings
  • Organizing all team social events and local gatherings
  • Setting up AV requirements for team meetings and executive presentations on-site
  • Proactively providing assistance with presentation setups, virtual meetings, and external guest support
  • Supporting conference and industry event registrations, sponsorships, and memberships
Qualifications
  • Relevant college/post-secondary education
  • Exceptional spelling and grammar abilities
  • Effective communication skills (verbal and written) and confidence in presenting
  • Strong organizational and time management skills
  • Ability to multitask and prioritize tasks
  • Detail-oriented with excellent analytical skills
  • Ability to collaborate well with others in a corporate setting
  • Proficiency in Outlook, Microsoft Word, Excel & PowerPoint
  • Thriving in a fast-paced office environment; capable of engaging professionally with all management levels while efficiently managing varied workloads and challenging situations

  • Demonstrate productive work habits and meet deadlines punctually
  • Communicate and interact efficiently and professionally with supervisors, colleagues, and team members, whether individually or in a group setting
  • Perform work tasks safely and effectively by understanding and adhering to instructions, including equipment use and safety policies
  • May work in different locations with varying conditions

Base Compensation: Amount per hour.

  • Actual pay may vary depending on factors such as education, experience, skill set, and/or location
