Term Assignment
During this 15 month assignment it is the Administrator/Bookkeeper's role to support Fotenn's professional Planners, Designers, and Landscape Architects to help optimize their efficiency while working to drive organizational effectiveness and maintaining the high standards of service excellence Fotenn has earned in the marketplace.
Key Responsibilities
- Prepare and distribute high volume of monthly invoices
- Accounts Payable function
- Coding and entering vendor invoices, noting discrepancies, and following up
- Entering employee expense claims
- Matching visa statements with supporting documents and entering, following up on discrepancies with the card holder
- Accounts Receivable function, perform customer collection calls
- Set up and maintain project budgets and accounting in our Project Management system
- Prepare and deliver bank deposits and other banking tasks
- Assist the Manager, Finance & Administration with Year End financial tasks
- File financial documents; reorganize and maintain a proper filing system
- Be back up for the other Financial Administrator and Office Administrator during busy times and vacations
- Other duties as required
Required Skills and Qualifications
- Postsecondary education
- Bookkeeping Certificate an asset
- Minimum 2 years of fullcycle bookkeeping experience
- Experience in working with financial/bookkeeping software (Fotenn uses Ajera software for project management and accounting)
- Good knowledge of MS Office (Word, Excel, Outlook)
- Must have excellent attention to detail, organization, problem solving and communication skills (both written and oral)
- Passion for administration and getting things done efficiently with a high level of accuracy.
- Ability to multitask and work in a fastpaced highvolume environment.
- Strong data entry skills
