The administrative assist reports to the CEO, and provides clerical and communications assistance to the team including the CEO, Exam Coordinator and Chief Examiner.

This position is with a non-profit organization located in Ottawa.

Description of Duties:

Communications - 25%

  • Provides support to receive packages in the office M-F,730330
  • Answer the telephone line professionally and with courtesy. If unable to answer, direct inquiries to the appropriate team member.
  • Answers inquiries to the board's generic inbox professionally and with courtesy, based on preapproved templates. If unable to answer, direct inquiries to the most appropriate team member.
  • Monitors the mail, distributing to the appropriate team member.
  • Processes payment for and sends out duplicate certificates.
Office Management - 10%

  • Filing
  • Arranges for office cleaning based on schedule
  • Proactively manages office supplies, getting approval for reordering of any supplies
  • Proactively reports any building or maintenance related issues to the CEO
  • Provides secondary approval, release and/or signature for expenses in alignment with the Financial Policies and Procedures.
  • Provides the bookkeeper with monthly reports related to:
  • Provides the bookkeeper with reports post-exam related to:
  • Transfers, revocation and withdrawal list
  • Postage list
Examination Administration - 40%

  • Payment processing via PayPal and/or Moneris.
  • Processes Program Director requests for revocation and tracks them in the Master spreadsheet.
  • On exam day, provides support to the CEO and exam coordinator.
  • Postexam, assists in session audits.
  • Prepares a final roster for submission to the vendor.
Equivalency Evaluations - 10%

  • Processes payments for equivalency evaluations.
  • Once the file is complete, notifies the CEO so that they can have it evaluated.
  • Sends out results of the evaluation
  • Maintains a registry of equivalency evaluations for annual reporting to the Bookkeeper as well as trending.
Other - 5%

  • Performs other duties as requested by the CEO
