Reporting to the Manager, Talent Acquisition, the Program Assistant provides administrative, process, and project support to the Talent Acquisition team.

Responsibilities include responding to general recruitment inquiries, placement of external job advertisements, coordination and registration of career fairs and related logistics; monitoring statuses of temporary foreign workers and validating documentation; and supporting strategic recruitment initiatives that advance Covenant Health's talent pipelines.

In addition, the Program Assistant is responsible for updating related website/intranet documentation and resources; processing and reconciliation of financial costs; payroll entry and filing; administrative and project support; calendar management; and other related duties as required.

Required Qualifications:

Completion of a recognized Human Resources Diploma program required (Equivalent education and/or experience may be considered). Two (2) to three (3) years of experience in an administrative role required. Minimum 1-2 years related experience in a large organization.

Advanced knowledge and ability to learn new software including but not limited to Microsoft Office Suite, online survey systems, PeopleSoft and recruitment management systems.

Experience in international recruitment processes and related requirements. Experience with facilitating external job advertisements.

Additional Required Qualifications:

Demonstrated excellence in customer service and continuous process improvement. Ability to prioritize workload, and monitor the details and quality of work, ensuring accuracy of information. Strong organizational and time management skills required.

Must be able to work in a fast-paced and demanding environment, exercise sound judgement, and be extremely flexible in managing multiple interruptions.

Must be able to communicate effectively; written and verbal in a co-operative, respectful, and sensitive manner with a high level of professionalism.

Demonstrated ability to handle issues and concerns while maintaining discretion, diplomacy and tact. Excellent detailed analytical and problem solving skills. Demonstrated ability to work collaboratively in a team environment, with various levels of stakeholders from across the organization.

Preferred Qualifications:

Chartered Professional in Human Resources (CPHR) designation an asset. Experience using Taleo, PeopleSoft, and RedCap preferred. Experience coordinating travel and/or special events preferred. Experience working in a multi-unionized health care setting preferred.
