Job Summary

MacEwan University is seeking a highly organized and detail-oriented individual to fill the role of Program Assistant (Admin Support III) within the School of Continuing Education.

Key Responsibilities

  • Provide exceptional customer service to prospective and returning students, responding to inquiries regarding admission requirements, course offerings, pre-requisites, registration procedures, fees, and academic services.
  • Assist with the registration process, collecting fee payments, and maintaining accurate records using PeopleSoft.
  • Support the Program Manager/University Advisor by referring students to relevant resources and providing administrative assistance.
  • Prepare reports, records, and supporting documentation as directed by the unit supervisor.
  • Contribute to the development of course schedules, room bookings, and equipment arrangements.
  • Assist in the creation and distribution of marketing and program information.
  • Set up LMS course information and support instructors with material preparation and printing.
  • Process invoices and payments.

Requirements

  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office, Meskanas (Moodle), and PeopleSoft.
  • Ability to work effectively in a team environment and independently on assignments.
  • Knowledge of registration systems and ability to multitask.
  • Equivalent combination of education and experience may be considered.

Qualifications

  • Diploma in business or office administration or related specialization.
  • Cross-cultural experience from student activities, work, volunteering, or study abroad would be considered an asset.
