Job Summary:


The Receptionist is responsible to answer and redirect incoming calls on the switchboard ensuring they reach the correct party with little to no delay.

As such, you must be a polite and cheerful professional with an excellent phone manner and good organizational skills. Other tasks will include sorting mail and directing visitors who arrive on site. This will require an individual who can quickly grasp procedures and follow them as the need arises. In addition, you will provide occasional to support Finance and Admin department completing various administrative functions.

Impact of Action:
The quality of his/her work directly influences customer satisfaction.

Responsibilities:

  • Answer and redirect incoming calls on switchboard to proper destination and take messages in a professional and friendly manner
  • Receive and assist visitors in the office.
  • As a frontline employee, present a positive and professional image of the organization to all visitors, suppliers, inquiries, and other interactions
  • Maintains security by following procedures; monitoring logbook
  • Ensure general office operations, including electronic correspondence, filing, typing reports and distributing mail
  • Assist finance department with filing invoices, receiving and distributing incoming accounts payable invoices, depositing cheques & processing credit card payments
  • Assisting finance department with other admin/logístical issues.
  • Administer and manage inbound/outbound mail, fax and couriers
  • Highly organized, with great attention to detail and followthrough
  • Have strong verbal and written communication skills
  • Demonstrate a professional and positive attitude
  • Demonstrate excellent time management and organizational skills
  • Collaborative team player with ability to also work independently with initiative
  • Flexibility to adapt to changes to tasks, processes, etc. with willingness to take on new tasks as required; "can do" attitude.

Job Requirements & Qualifications:
