Human Resources Assistant (Summer)

This role is a Canada Summer Jobs Grant position and as such, requires all grant-funded employees to fall between the ages of 16 and 30. This role entails working 35 hours per week for a duration of 8 weeks.


Reporting to the Human Resources Business Partner the Human Resources Assistant - Summer, supports the Human Resources (HR) Department through providing administrative support to HR programs.

The HR Assistant will support an employee-oriented, high-performance culture that emphasizes the values of Scouts Canada and facilitates the achievement of the business plan and elevated levels of employee engagement.


The Human Resources Assistant will be responsible for providing a consistently high standard of administrative support to the human resources department.

Other responsibilities will include aiding in the organization of the overall workload and ensuring the effective use of resources to aid in the smooth running of the department.


A clear Police Record Check (PRC) and Vulnerable Sector Screening (VSS) are required for those over the age of 18 years.

Duties and Responsibilities:

  • Assist with Recruitment; such as resume screening, conducting references and scheduling interviews, posting job ads
  • Prepare materials for new employee orientation sessions, staff development, and other employee communications, as assigned.
  • Aid with the maintenance and accuracy of employee files and records
  • Update employee databases to ensure accuracy of data
  • Assist in the Maintenace of HR Intranet pages
  • May help with a project to standardize all Organizational Job Descriptions
  • May be involved in the review and update of the Employee Handbook
  • Participate in HR team meetings and training sessions
  • Perform research for the team as needed; help with special projects and perform related duties as assigned.

Competencies Required:

  • In the process of obtaining a postsecondary education in Human Resources Management or a similar program combined with12 years of related administrative experience
  • Strong client service and interpersonal skills with a demonstrated ability to be discrete and provide accurate information.
  • Elevated level of attention to detail, and welldeveloped communication skills.
  • Excellent organizational and prioritization skills with experience using spreadsheets.
  • Excellent client service and interpersonal skills with a demonstrated ability to be seen as a trusted advisor.
  • Welldeveloped business acumen.
  • High level of attention to detail well welldeveloped influencing, negotiating and coaching skills and effective communication skills.
  • Solid project management skills and ability to coordinate, plan and schedule multiple projects and budgets at the same time.
  • Strong presentation skills, strong analytical skills, and ability to work independently and with all levels throughout the organization. Ability to analyze data.
  • Highly motivated and enjoy working in a fastpaced environment.
  • Flexible and able to adapt to changing priorities while still being focused to meet targeted deadlines.

Working Conditions:

  • A Police Record Check (PRC) and Vulnerable Sector Check (VSS) are required for those over the age of 18 years, before the start date.
