Acasta HeliFlight is looking for an Administrative Assistant to join the team during the bustling summer season. This role will provide support to the Administrative Coordinator. The ideal candidate should be well-organized, adaptable, skilled at handling multiple tasks, and hold a valid driver's license. Responsibilities include answering and directing calls, managing office tasks, and arranging travel and accommodations.

Responsibilities

Position Profile

  • Answering incoming phone calls, taking messages, and directing calls appropriately.
  • Arranging travel and accommodations for different departments.
  • Visiting crew houses regularly and ensuring supplies are stocked.
  • Managing crew housing schedules, vehicle assignments, and coordinating arrivals and departures.
  • Handling expense reports and credit card reconciliation.
  • Monitoring office supplies and placing orders when needed.
  • Reviewing and distributing incoming/outgoing mail and account charges.
  • Collaborating with other managers on administrative and technical tasks.
  • Performing other relevant duties as necessary.

Qualifications

  • Valid driver's license.
  • Prior experience in reception or administration preferred; aviation industry knowledge is beneficial.
  • Strong customer service, communication, and interpersonal skills.
  • Professionalism, discretion, and integrity.
  • Ability to work independently and in a team.
