Our Waterloo office is looking for an Administrative Assistant, Legal to join their team
Key Responsibilities:
- Initial review and organization of existing original, executed estate planning documents in onsite vault;
- Reorganize and update the existing recordkeeping system;
- Process new executed estate planning documents, including:
- Review documents for proper execution;
- Scanning of original documents;
- Create and prepare affidavits of execution, estate planning reporting letters and records books;
- Enter information into recordkeeping system and arranging for safekeeping of original documents in onsite vault;
- Respond to requests for records and information and retrieve original documents from onsite vault;
- Maintain an uptodate recordkeeping system;
- Other duties as assigned.
What you'll bring:
- Community College Certificate or Diploma or equivalent combination of experience;
- 23 years of working experience in a professional organization;
- Excellent organizational, timemanagement and coordination skills;
- Superior attention to detail and ability to work with and understand confidential information;
- Excellent verbal and written communication skills;
- Ability to work well on their own with minimal direction or instructions;
- Strong investigative and problemsolving skills to troubleshoot and escalate issues;
- Ability to lift up to 30lbs;
- Advanced technical skills in MS Office (Word, Excel and PowerPoint); Able to learn new software systems with ease;
- Forwardthinking and innovative with ability to find ways to deliver customer service excellence;
- Able to manage multiple files and tasks, and strong ability to take initiative;
- Collegial and a team player;
- Experience in Wills & Estates is considered an asset but not required.
