Our Waterloo office is looking for an Administrative Assistant, Legal to join their team

Key Responsibilities:

  • Initial review and organization of existing original, executed estate planning documents in onsite vault;
  • Reorganize and update the existing recordkeeping system;
  • Process new executed estate planning documents, including:
  • Review documents for proper execution;
  • Scanning of original documents;
  • Create and prepare affidavits of execution, estate planning reporting letters and records books;
  • Enter information into recordkeeping system and arranging for safekeeping of original documents in onsite vault;
  • Respond to requests for records and information and retrieve original documents from onsite vault;
  • Maintain an uptodate recordkeeping system;
  • Other duties as assigned.

What you'll bring:

  • Community College Certificate or Diploma or equivalent combination of experience;
  • 23 years of working experience in a professional organization;
  • Excellent organizational, timemanagement and coordination skills;
  • Superior attention to detail and ability to work with and understand confidential information;
  • Excellent verbal and written communication skills;
  • Ability to work well on their own with minimal direction or instructions;
  • Strong investigative and problemsolving skills to troubleshoot and escalate issues;
  • Ability to lift up to 30lbs;
  • Advanced technical skills in MS Office (Word, Excel and PowerPoint); Able to learn new software systems with ease;
  • Forwardthinking and innovative with ability to find ways to deliver customer service excellence;
  • Able to manage multiple files and tasks, and strong ability to take initiative;
  • Collegial and a team player;
  • Experience in Wills & Estates is considered an asset but not required.
