The Role
We currently have an opening on our estimating team for a Proposal Coordinator to support various divisions and business units. This position is based out of the head office in Edmonton, AB and reports into the Estimating Manager. The Proposal Coordinator will assist the Preconstruction, Operations and Estimating teams to develop project cost projections, bid organization, assembly and submission and can handle RFP supplementals.
The ideal candidate is exceptionally organized, detail oriented and creative. They work well under pressure and within tight deadlines. They understand estimating so they are able to write technically but also have a flair for marketing so they can put together packages that are tailored to our audience and that promote the OCL brand.

Key Duties & Responsibilities
  • Develop RFQ and RFP responses that are focused and innovative, that meet client requirements and reflect OCL's brand guidelines.
  • Oversee and coordinate proposal development while engaging multiple disciplines and divisions.
  • Provide strong technical writing support to the estimating and project management teams and work closely with subject matter experts, identifying benefits and value-add content for proposal submissions.
  • Support business development and strategic initiatives (events, presentations, marketing materials and website updates), as required.
  • Create and maintain an up-to-date library of corporate resumes, project profiles, presentations and photos while following brand standards.
  • Responsible for document control activities such as downloading proposal files from client portals, managing client portal passwords and overall maintenance of internal proposal file structure.
  • Liaise with the client regarding proposal submission requirements, requests for information, addenda, meetings, etc., as required.
  • Assist estimators in the production of labour & material take-offs for each discipline.

Education and Work Experience Requirements
  • 3+ years experience writing and coordinating proposals, RFP's and bid packages for the construction industry.
  • Degree or diploma in marketing, communications or another related field, or equivalent industry experience.
  • Exceptional organizational and time management skills. Works well under pressure with tight deadlines in a fast paced environment.
  • Excellent English writing, reading and speaking skills.
  • Ability to work on multiple projects simultaneously.
  • Creative out of the box thinker.
  • Has a passion for marketing, communications and branding.
  • detailed knowledge of proposal and marketing procedures, work processes, and tools from both a technical and creative standpoint.
  • Comfortable with public speaking and presenting
  • Proficient in Adobe Creative Suite (specifically Photoshop, Illustrator, InDesign); graphic design experience.
  • Experience putting together proposals for mechanical, piping, civil and earthworks construction relating to site preparation, drainage, roads and underground utilities, including experience with live operating facilities.
  • Intermediate to advanced knowledge of the Google Suite of products including Drive, Sheets, Docs, Calendar, etc.
