Administrative Services Manager, Full Time

Under direct supervision of the Director of Corporate Services, the Property and Office Services Supervisor is responsible for supervising the Authority's driver/messenger and janitorial staff, and assisting in administering office services and building and equipment maintenance.

Assumes responsibility for storing, ordering and issuing office supplies.
Assumes responsibility for the procurement of outside services for building and equipment maintenance and repair.
Develops and implements a system of listing and numbering all office equipment.
Creates and maintains a file of all service contracts and property leases.
Reviews correspondence and prepares response and reports for the Director's signature.
Handles general office procedures for the Director of Corporate Services.
Prepares and tracks requisitions for the Corporate Services division.
Investigates complaints made by employees and follows through to find a solution, or refers them to the Director of Corporate Services.
Compares budget allocation with budget requests; records actual expenses and prepares status of budgetary accounts.
Performs all work in accordance with safety regulations, company policy and OSHA standards.
Recommends or initiates personnel actions such as promotions, transfers and disciplinary measures.
Trains and orients new employees to the routines of the operation; interprets company policies to workers.
Analyzes and resolves work problems; may confer with worker's representatives to resolve grievances.
Knowledge of computers and different software applications to include Microsoft Office Suite.
Knowledge of common transportation means, delivery terms, freight practices and other ordering data.
Basic knowledge of the principles of and practices of contract administration.
Ability to plan, coordinate, organize and supervise large volume purchasing.
Ability to express oneself clearly and precisely in oral and written communications.
Knowledge of Business English, spelling and arithmetic.

Ability to maintain accurate and current store keeping records.
Ability to establish and maintain harmonious working relationships.

Ability to maintain good communication and effective working relationships with all persons contacted during the course of work in order to coordinate work activities.
Ability to motivate workers to complete desired results within a specific time period.
Ability to review documents to verify completeness and accuracy of information.
Ability to deal effectively with all persons contacted during the course of work.
High degree of initiative and dependability.
Graduation from an accredited college or university with an Associate degree in Business Administration, Office Management or related field, and six (6) years of progressively responsible experience in administering office services and the maintenance of buildings and equipment.
