**Work Location**:primary location20 Morrison Dr., St. Thomas, ON

**Commitment**:35 hours per week

**Compensation**:Salary commensurate with experience and Diocesan policies. This position is eligible for participation in the lay staff benefits plan and pension program.

**Position Summary**:
**Summary of Duties**:

- Answers phone inquiries and/or directs calls to the appropriate individual
- Greets and welcomes walk-ins
- Completes Mass Requests and accurately record information
- Answers questions about Sacraments - Baptisms, 1st Reconciliations, 1st Communions, Confirmations, Weddings, Deaths and other events or programs going on in the Family of Parishes.
- Accepts deliveries, opens and sorts mail as required
- Coordinates with the Custodians for event setup/take down in the Churches and Halls
- Books meeting rooms for staff and/or groups
- Ensures that there are proper levels of office supplies and orders as needed
- Ensures that there are proper levels of liturgical supplies ( e.g. wine, hosts, candles) and orders as needed
- Maintains supplies of forms (new registration, pre-authorized debits, etc.)
- Updates general phone greeting and family of parishes staff phone directory
- Updates and maintains accurate Parish records on DDMS (new registrations, information changes) and updates all relevant sacramental records
- Prepares Baptismal and Confirmation Certificates for delivery to participants
- Maintains an orderly filing system for Parish records, information, programs, etc.
- Makes photocopies for walk-ins (CWL or other Group Leaders)
- Works closely with elementary and secondary schools
- Assists with funeral planning supports and communications
- Ensures the office and church are locked at the end of each day.
- Assists clergy and co-workers with administrative based tasks as assigned by the Manager.

**Qualifications and Requirements**:

- College Diploma in Business, Office Administration or a related field of study and/or a minimum of 2 years of related working experience
- Ability to maintain strict confidentiality of highly sensitive materials
- Proficient in the latest versions of Microsoft Word, Excel, and PowerPoint and Office 365
- Excellent interpersonal, organizational and verbal and written communications skills
- Collaborative, supportive, flexible team player with a high degree of initiative
