About Us: Brunel is partnered with a large Oil and Gas company, seeking a motivated and organized Administrative Assistant to join their team and provide essential support to their staff at their Nanticoke facility. Please note this role will be on-site five days a week.

Job Summary: The Administrative Assistant will perform a variety of administrative and clerical tasks to support the facility and ensure the efficient operation of the office. The ideal candidate is a proactive individual with excellent organizational skills, strong attention to detail, and the ability to handle multiple tasks simultaneously.

Responsibilities:

  • Answer and direct phone calls
  • Organize and schedule appointments
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes, and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain office policies and procedures
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Book travel arrangements
  • Submit and reconcile expense reports
  • Support with staffing and hiring needs
  • Oversee scheduling of staff shifts and rotations, as well as any vacation and payroll changes

Requirements:

  • Proven experience as an Administrative Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Able to commute daily to the Nanticoke facility
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
