We're looking for a Project Administrator to join our team The Project Administrator provides support to construction project teams with respect to financial administration activities and management of project documentation.

As a Project Administrator, you’ll be responsible for:

  • Under the direction of Project Managers, the Project Administrator performs administration duties in coordination with project management teams for one major or multiple smaller projects.

Project Set Up

  • Prepare Project Requisition Forms.
  • Set Up Project Shared File Structures.
  • Collect Health and Safety Documentation.

Tendering

  • Assist in preparation of Subcontract Tender Documentation.

Prepare And Manage Project Purchase Orders and Subcontracts

  • Prepare Subcontract Purchase Orders for Materials and Equipment.
  • Prepare Subcontracts and Manage Execution Internally/Externally.
  • Collect and Manage Subcontract Documentation – WSIB, Insurance, etc.

Change Management

  • Assist in collection of subcontractor pricing where required.
  • Assist in preparation and processing of Proposed Change Orders.
  • Process Client Issued Change Orders and related Subcontract Change Orders.

Accounts Payable Support

  • Reconcile Monthly Invoices to Purchase Orders and Subcontracts.

Document Management

  • Maintain Document Management in accordance with Prodigy Standards.
  • Support Project Teams in filing and distribution.
  • Maintain tracking logs for project documentation.
  • Assist in preparation of weekly reports and distribution.
  • Assist in preparation of Close Out Documentation.

About You:

The successful candidate will have the following:

  • Post-secondary education in business administration, project management or related field.
  • The preferred job experience is a minimum of 1 year.
  • Experience working in ICI Construction Markets is considered an asset.
  • Skilled working ability in MS Word, Excel, and Outlook.
  • Capable of using MS Office Suite and Procore
  • Demonstrates a willingness to adapt, improvise, and remain flexible in response to evolving circumstances.
  • Competent in written and verbal communication.
  • Competent in time management and work prioritization.
  • Demonstrate a high level of integrity and accountability.
  • Willingness to learn and grow.
