WHO WE ARE

Located in downtown Toronto, Podium Developments is seeking an experienced Office Manager to join our Head Office team

Since its founding in 2004, Podium Developments has a successful track record of entitling, developing and constructing new mixed-use residential buildings in urban infill locations, often near major educational institutions. As a vertically integrated development, construction and asset management business, Podium applies and leverages all business lenses together to produce successful projects, from conception, to delivery, and management beyond. Podium is a collaboration of seasoned professionals in planning/design, engineering, finance and project management with shared values and successes; a team of experts investing and working together. With many completed projects in Toronto, Oshawa, Kingston, Barrie, Guelph and Miami, and eight more currently under development and construction in the GTA, Podium continues to bring new developments to fruition.

WHAT WE’RE LOOKING FOR

Your role as the Office Manager will be to support the Podium team with the daily functions of the office. The ideal candidate will be a proactive and organized professional with a passion for providing exceptional administrative support and the ability to work collaboratively with team members at all levels of the organization. Your role will involve managing our front of house operations, providing administrative support to our senior managers, and championing our company culture initiatives. RESPONSIBILITIES

Facility Services

  • Manage and oversee all administrative functions of the office, including reception, supplies, and facilities.
  • Manage the front desk and reception area, including greeting visitors, answering phones, and directing inquiries.
  • Oversee facilities management, including maintenance, repairs, and equipment.
  • Coordinate with building management for any facility-related issues or improvements.
  • Ensure the office environment is clean, organized, and compliant with health and safety regulations.
  • Coordinate office moves, renovations, and space planning projects.
  • Develop and implement office policies and procedures to improve operational efficiency and effectiveness.
  • Manage office budget and expenses and identify opportunities for cost savings.

Administrative/ Executive Support

  • Provide high-level administrative support to the executive team and senior managers.
  • Provide direct administrative support, including maintaining file systems; mailing and shipping packages; and updating contacts database and employee lists.
  • Prepare and distribute correspondence, memos, reports, and presentations on behalf of the executive team.
  • Manage confidential information with discretion and professionalism.
  • Anticipate the needs of the executive team and proactively address them.

Culture

  • Plan and coordinate team-building activities, events, and initiatives to enhance employee engagement and morale.
  • Serve as a role model for the company's culture, demonstrating professionalism, respect, and a commitment to diversity and inclusion.
  • Collaborate with HR to implement programs and policies that support a healthy and vibrant workplace culture.
  • Support the development of a strong employer brand by promoting Podium as a Top Employer.
  • Ensure that corporate culture initiatives are aligned with the company’s overall goals and objectives.
  • Coordinate office events and meetings, including logistics and scheduling.
  • Plan and coordinate monthly social events, including lunches, team-building activities, social and annual events.

Support the Shared Services Manager, as needed, as required.

KEY QUALIFICATIONS

  • Minimum of 3 years of experience in office management or an administrative related role.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with a professional and friendly demeanor.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Experience working in the real estate or property development industry is preferred.
