OPPORTUNITY: LEGAL ASSISTANT

In this role, you’ll be a vital part of our team, supporting our lawyer and paralegals to ensure our clients receive exceptional care. Key Responsibilities:

Internal Team Support:

  • Coordinate client meetings (via phone/email)
  • Communicate with clients as directed and ensure timely responses and accurate information
  • Prepare and organize legal documents related to real estate transactions
  • Review client documents for accuracy, completeness, and compliance with legal standards.
  • Maintain accurate and organized files for all active and closed cases, ensuring easy retrieval and confidentiality.
  • Support office administration and day to functioning as well as team events when requested.

Transaction Coordination:

  • Assist with the opening and closing of real estate transactions, including scheduling, and ensuring all necessary documentation is complete.
  • Assist in fund disbursement and accurate recording of financial transactions.

 

Due Diligence:

  • Support the drafting of legal documents and correspondence under the direction of paralegals and lawyer(s).
  • Ensure your work meets compliance with relevant laws and regulations in all real estate transactions.
  • Utilize legal practice management software, real estate transaction platforms, and other relevant technology tools to streamline processes and maintain records.

Critical Skills:

  • Superior interpersonal skills, including active listening, patience, and professionalism.
  • Ability to follow instructions and complete tasks accurately and effectively.
  • Strong organizational skills with the ability to manage a high volume of administrative tasks.
  • Excellent time-management skills to meet important deadlines.
  • Ability to prioritize work to ensure timelines are met.
  • Strategic thinking and problem-solving skills.
  • Adaptable, reliable, and a true self-starter.

Experience & Qualifications:

  • 1-3 years of experience in an intermediate administrative role.
  • We prefer a diploma in Administration from a recognized post-secondary institution.
  • Proficiency in MS Office Suite and Office 365
  • Proven track record of excellent organizational skills and effective systems management.
  • Advanced communication skills across all mediums (face-to-face, phone, email).
  • Proven ability to multitask and prioritize effectively.
  • Familiarity with, or a strong interest in, working within a legal environment is considered an asset.
  • Team-oriented with a collaborative, adaptable, and flexible approach.
