We are looking to fill an administrative assistant position in hybrid mode for our Square Victoria office.
This is a replacement for maternity leave for a period of 12 to 13 months.


Reporting to the Vice President, Private Equity - Americas, the incumbent supports the International Private Equity team in achieving business objectives by participating in the administrative and technical support of the team. He/she promotes collaboration and teamwork, within the Montreal office and international offices.

Responsibilities
Plan and organize business trips: authorizations, reservations, logistics
Prepare and review expense accounts and do the necessary follow-ups;
Manage the agenda of certain team members by organizing complex meetings, managing scheduling conflicts and ensuring necessary follow-ups;
Make various reservations and registrations which will require travel;
Coordinate the obtaining of signatures of legal documents via DocuSign and carry out the necessary follow-ups;
Manage the arrival of new colleagues and collaborate in their integration;
Update the travel schedule for the team and internal committees;
Collaborate in updating internal processes and procedures and participate in various files by collaborating with the resources of the administrative team;
Perform various support tasks: ordering supplies, mail, messaging, etc.;
Replace the team's administrative assistants and administration technicians during absences or support them during peak periods;
Work with ease with our colleagues in international offices;
Accomplish any other related tasks that may be entrusted to him related to the administrative management of the PVP International Private Placement.
Qualifications
College diploma in administration or other relevant studies;
Minimum of 5 years of experience in an administrative assistant or technician role;
An equivalent combination of education and experience may be taken into consideration;
Excellent command of the Microsoft Office suite and knowledge of the SharePoint application, an asset;
Excellent written communication in French and English;
*Frequent interactions in English, oral and written, with employees based in one of the 9 international offices
