Job summary
The Executive Assistant provides direct support to the Vice President. Responsible for organizing schedules and correspondence. Supports both the Vice President- Business Markets and Vice President- Sr Commercial Markets.
Job seniority: mid-to-senior level
Responsibilities
• Manage and maintain executive calendars, coordinate meetings/conferences. • Act as the VP's delegate for email and phone during absences. • Develop communications, meeting/conference materials, forms, documents, presentations, and spreadsheets. • Coordinate all requirements, including expense claims, invoices, travel, and supplies. • Organize quarterly town halls, employee recognition celebrations, and team events. • Maintain global distribution list and distribute group-wide communications. • Raise awareness among the team, extend invitations to key business partners. • Maintain constructive and cooperative working relationships with individuals at all levels. • Assist with anticipating needs, resilience in challenging situations, and perseverance. • Must-have: Excellent interpersonal and communication skills, ability to work with all levels of management and staff.
Requirements
• Ability to take initiative, prioritize tasks, and work independently and as part of a team. • Ability to handle sensitive and confidential information with discretion. • Superior attention to detail, calm under pressure, and confidence. • Innate ability to develop and maintain constructive and cooperative working relationships. • Nice-to-have: Professionalism, initiative, enthusiasm, energy, and a sense of urgency. • 4+ years of Financial industry Executive Admin experience.
