Reporting to the Manager, Communications & Industry Relations, we are looking to add an Event Coordinator to our team. In this position, you will be key in planning, organizing, and executing events, tradeshows, and more.


We are looking for a highly skilled professional who can help make these gatherings consistently efficient, cost-effective, and memorable. The ideal person for this position is a detailed and self-motivated individual who thrives in a fast-paced, creative environment and enjoys having a little fun along the way.


Job Duties:

  • Main point of contact for the annual 1200 person Stars & Spurs Gala
  • Responsible for managing external contractors
  • Lead the event coordination for the annual 150-person fundraising golf tournament
  • Manages the volunteer committee
  • Ensures sponsorship materials and fulfillment details are correct
  • Coordinates the fall AGM and Industry Update event
  • Creates and coordinates quarterly speaker event series
  • Develops events focused on supporting learning opportunities for our members
  • Organizes Enserva participation at trade shows, e.g. the Global Energy Show
  • Manages the logistics and ensures smooth execution of materials and communication between staff and volunteers
  • Manages budgets for on-site needs
  • Support Industry Engagement lead in setting up outreach events as necessary
  • Supports Executive Assistant in organizing events for CEO / Board as required
  • Ensures that budgets A/R and A/P files related to events are accurate


Skills Required

  • Experience in event planning and/or event coordination
  • Proven track record of planning successful events within designated timelines and budget
  • Excellent organizational, communication, negotiating and multitasking skills
  • Ability to remain calm under pressure and maintain a professional customer service mindset


Qualifications

  • Bachelor’s degree an asset
  • Minimum 3-5 years’ experience planning events of all sizes
