Job Title: Hosting Coordinator, Bilingual (Mandarin and English Speaking)

Reports to: Senior Manager, Global Hosting (Greater China)

Date: April 2024

Position Overview:

Provide superior customer service and flawless execution in the co-ordination and administration of the education programs at designated Merrithew Host Training Centers. Responsibilities include handling the day-to-day facility services and activities associated with growing the revenue for Merrithew’s education hosting and to co-ordinate the pre, during and post course execution of hosted courses.

Major Responsibilities:

Customer Service

  • Provide superior customer service to new and current Host Training Centers of the company.
  • Communicate with facility owners/operators to ensure our clients’ / students’ needs are met.
  • Proactively communicate with facility owners/operators on an ongoing basis to facilitate current and future training needs.
  • Assist with providing support to hosting clients and students by liaising with the Marketing & Communications team, and Programming team
  • Provide any assistance needed to the Company’s Instructor Trainers before, during and after their teaching assignments

Coordination and Implementation

  • Plan and execute the post-sale details of hosting, secure course dates, book Instructor Trainers, Hosting agreements, handle invoices, process payments, post courses on the website,
  • plan Instructor Trainers’ travel arrangements, manage Instructor Trainer agreements, provide course documents to Instructor Trainers prior to the course, order course materials when needed and ensure they have been shipped within designated timelines.
  • Manage host site status reports to ensure all needs are met for a successful hosting and learning experience for all students.
  • Act as a facility resource for current host site inquiries regarding courses, workshops and Continuing Education programs and events.
  • Submit relevant details for the communication and promotion of courses, workshops and Continuing Education requirements.
  • Collect all post-course documents, attendance lists, Instructor declarations, and ensure attendees are entered into the database (EMS) to generate completion letters.
  • Other duties as assigned by supervisor or department head

Skills and Qualifications:

  • 2+ years of coordination, customer service and office administration experience; preferably in a fitness-related field
  • Bilingual English and Chinese (Mandarin), spoken and written, is a must. Additional languages will be an asset
  • Ability to multi-task and adapt to changing priorities
  • Strong time-management, prioritization and organizational skills
  • Acute attention to detail
  • Strong listening and interpersonal skills
  • Strong written and verbal communication skills
  • Familiarity and comfort working using social media as communication tool for designated international markets is required, besides email
  • Ability to take initiative in order to get things done in a timely manner
  • Ability to work effectively as part of a team or on their own
  • Strong computer skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Filemaker Pro (order entry), and CRM and Chinese social media
  • Can legally work in Canada, open to full time in-office work or hybrid work
