Executive Administrative Assistant

Our long standing Commercial Real Estate Brokerage and Consultancy client is hiring a part -time, Executive Administrative Assistant/Deal Coordinator for their downtown Toronto office team. The ideal candidate is proactive, resourceful and organized, thrives in a fast-paced environment and is flexible to assume a variety of responsibilities as needed. The Executive Administrative Assistant will provide general administrative, sales, research, deal support and marketing support to a small team.
Duties & Responsibilities:
- Answer phone calls, emails, and act as landlord liaison.
- Manage office equipment and office/kitchen supplies.
- Write Trade Record sheets and keep files in compliance with RECO.
- Pay bills, create invoices, distribute funds. RECO compliance as it relates to Brokerage and Trust accounts. (Trust account not used regularly).
- Record keeping for each deal.
- Reconcile credit cards, track expenses and record travel expenses/reimbursements.
- Schedule appointments, arrange travel and other reservations.
- Provide market research.
- Communicate with clients.
- Create market maps and demographic reports.
- Attendance at meetings or Trade shows may be required (some travel may be included).
- Keeping up-to-date on specific retail and mixed-use developments in specific markets.
- Create graphs, tour packages and presentations using Adobe Creative Suite.
- Perform research on new markets and understand the demographics of those markets.
Qualifications:
- A Bachelor’s degree or equivalent combined experience and education. We do not require a background in Real Estate.
- Experience providing administrative support to a team of professionals, sales or marketing environment preferred.
- Proficient with Microsoft Office Suite applications.
- Strong travel coordination and schedule management experience
- The ideal candidate is proactive, resourceful, personable, and motivated.
