Job Summary:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative support to ensure the efficient operation of the office. This role requires strong communication skills, multitasking abilities, and a proactive approach to problem-solving.

Key ResponsibilitiesOffice Management:
  • Handle office supplies and inventory management.
  • Coordinate office maintenance and troubleshoot basic technical issues.
Scheduling and Calendar Management:
  • Manage calendars, schedule appointments, meetings, and conferences.
  • Arrange travel and accommodations as needed.
Document Preparation and Filing:
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Maintain and organize files and records both digitally and physically.
Communication Support:
  • Answer phone calls, screen emails, and direct inquiries to the appropriate department.
  • Act as a point of contact for internal and external stakeholders.
Event Coordination:
  • Assist in organizing company events, meetings, and conferences.
  • Coordinate logistics for company gatherings and employee functions.
Data Entry and Reporting:
  • Input and maintain accurate data in databases or spreadsheets.
  • Prepare regular reports and update key performance indicators (KPIs).
General Administrative Duties:
  • Perform a variety of clerical duties as needed to support the team.
  • Collaborate with other departments to ensure smooth office operations.

Skills, Knowledge and Expertise
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational skills with an ability to prioritize and manage multiple tasks.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and problem-solving skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong interpersonal skills with the ability to work collaboratively in a team environment.
  • A high school diploma or equivalent; additional qualifications in office administration are a plus.
