Assistant Event Coordinator

Position Overview:
We are seeking a detail-oriented and dynamic Assistant Event Coordinator to join our team. The ideal candidate will assist in planning, organizing, and executing various events, ensuring they run smoothly and meet client expectations. This role requires excellent communication skills, creativity, and the ability to manage multiple tasks in a fast-paced environment.
Key ResponsibilitiesEvent Planning and Coordination:
- Assist the Event Coordinator in planning and scheduling event timelines, logistics, and deliverables.
- Support in creating and managing budgets, vendor contracts, and event proposals.
Vendor and Client Liaison:
- Communicate with vendors, suppliers, and clients to ensure all details are confirmed and align with event goals.
- Assist in negotiating contracts and ensuring timely delivery of goods and services.
Administrative Support:
- Maintain event documentation, including contracts, invoices, and post-event reports.
- Monitor inventory and order event-related supplies as needed.
Marketing and Promotion:
- Collaborate with the marketing team to create promotional materials and social media campaigns.
- Assist in coordinating invitations, RSVPs, and guest lists.
Skills, Knowledge and Expertise
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite; familiarity with event management software is a plus.
- Ability to work flexible hours, including evenings and weekends, as needed.
