The Need

For 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence by 2030, we are seeking a Coordinator, Data Stewardship and Gift Processing, IJM Canada.

The Coordinator, Data Stewardship and Gift Processing provides excellent customer service to retain and acquire new IJM supporters, ensures the maintenance of accuracy of supporter information and associated data while maintaining confidentiality of privileged and sensitive information.

This position is based in Mississauga, ON, Canada and reports to the Vice President, Advancement and Strategy.

Responsibilities:

Documentation, Reporting & Data Management

Tracking errors and inconsistencies in Salesforce data and engaging the IJM Global Technology Services Salesforce team to resolve errors or data problems.

Respond to Salesforce tasks including campaign creation and assignment of relevant GAUs.

Updating donor account information including receiving and entering new constituents from church speaking engagements, events, and other sources into relevant database, preventing duplicates and ensuring data integrity.

Participate in monthly NACRM Governance Meetings using that opportunity to recommend new processes and procedures to create efficiencies within gift processing and management.

When required, support mailing list creation for integrated campaigns.

Contribute to compliance with all relevant data privacy legislations and requirements such as CASL.

Communications: Donor Relations

Responding to constituent phone calls and emails, in alignment with the organization’s standards, regarding contribution inquires, contact information updates, credit card or banking updates, and IJM Canada resource orders via credit card.

Manage incoming Organizational emails and distributing as required ( and ).

Receipting including:

Print and mail receipts to donors who do not have an email address or who have requested print copies.

Problem solving in the receipting process includes issuing duplicate receipts as required

Provide support to Freedom Partner retention activities.

Strategy & Knowledge Development & Implementation

Contribute to the review and development of mass fundraising strategies and plans.

Contribute to prospecting insights and activities.

Supporting the understanding and application of mass donor data insights.

Reviewing and providing insights for monthly and quarterly Data and Insights reports

Supporting Data and Insights research or inquiry requests for the Mass Donor team.

Where possible, respond to inquiries regarding campaign, project or fundraising performance.

Gift Processing

Support gift processing activities including:

Receiving and entering all donation information from cheques, and pre-authorized debit (PAD) into the relevant database, including scanning and attaching original documentation for monthly supporters.

Facilitating recurring donations via credit card and PAD and following-up with exceptions (declined, expired); facilitating gifts in honour/memory of individuals, and facilitating company matching gifts.

Maintaining soft copy of files.

Contact donors regarding missed gifts or expired credit cards.

Finance Administration Support

Collaborating with the Director of Finance to reconcile Salesforce donation information with financial reports.

Providing support to financial aspects of third-party events, cheque exchanges and intern reimbursements.

General Tasks

Complete administrative tasks as assigned such as supporting the development of relevant lines in the Mass and Marketing or Operations budgets.

Participate in IJM’s community of spiritual formation.

Qualifications:

Education & Experience

1-2 years of professional experience.

1-2 years experience in data entry and financial administration.

Proven ability to provide professional customer service to a variety of constituents.

Bachelor’s degree.

Technical Competencies

Working knowledge of Microsoft Office.

Exceptional ability in written and oral communications.

Demonstrated ability to manage and maintain accurate data.

Prior experience using fundraising or sales related CRM, Salesforce preferred.

Prior experience with digital marketing platforms preferred.
