Job Summary

The vision of the UBC Department of Emergency Medicine is to be a provincially integrated Department committed to clinical, academic, and health care delivery leadership, founded in the creation and exchange of knowledge to improve emergency care. Our faculty members across the province have an impressive record of research and discovery related to prevention of emergencies, improving clinical care, and system improvements. Our Royal College residency training program, distributed across four program sites, is the largest in the country providing high-quality emergency training. The Department of Emergency Medicine has also played a leadership role in the development and implementation of the BC Emergency Medicine Network which integrates and translates knowledge and experiences to support emergency practitioners across the province.

The DigEM research program, led by Dr. Kendall Ho, conducts research on the use of digital technologies to improve healthcare delivery and raising digital health literacy. Digital Emergency Medicine carries out research, community engagement, and educational activities to explore how modern information and communication technologies (e.g. mobile and web-based applications, etc.) can improve health care. Within DigEM, the TEC4Home Blood Pressure (TEC4Home-BP) trial is a research project that evaluates innovative health care delivery to transition care from the emergency department to home for patients with severe hypertension, using digital health solutions and interdisciplinary collaboration with pharmacist/nurse led case-management. The trial is recruiting patients at four hospital sites. The TEC4Home Recruitment Manager is responsible for the planning, management, and organization of recruitment and enrolment activities for the TEC4Home-BP project. TEC4Home Recruitment Manager coordinates recruitment activities and is responsible for supporting project resources materials and data collection across recruitment sites. Duties also include contributions to other project activities such as drafting and reviewing study documentation, data analysis, and drafting reports and other publications.

Organizational Status

Organizationally the position reports to the Research Portfolio Coordinator. The TEC4Home Recruitment Manager will be responsible for recruitment resources and activities, including research assistants, students, and volunteers.

Administratively, the position reports to the Manager, Technology Research & Program Administration.

Through the course of their daily work, the TEC4Home Recruitment Manager will be required to establish relationships with UBC and community stakeholders, site clinical staff, contractors, as well as with principal and co-investigators (internal and external to UBC), and with other staff within the department.

Work Performed

Assumes the role and responsibilities of Recruitment Manager for the TEC4Home-BP trial.

The incumbent:

- Participates in recruitment strategy planning and roll-out, contributing to definition and change management of related strategies, goals, and scope.

- Develops a plan and critical path for successful completion of TEC4Home-BP trial recruitment deliverables.

- Is responsible for procedural and administrative aspects of the enrolment activities including monitoring relevant portions of the project budget.

- Plans and oversees the completion of work and deliverables by TEC4Home-BP recruitment resources including students, research assistants, volunteers, hospital personnel supporting recruitment activities across the hospital sites.

- Identifies challenges and exercises discretion and judgement to customize and streamline recruitment processes as appropriate.

- Liaises with and provides recruitment updates to project investigators, committee members, the project team, and other stakeholders.

- Plans, organizes and is responsible for quality completion of the activities related to participant recruitment and enrollment across sites in the TEC4Home-BP trial:

  • Determines schedules and supports recruitment resources and activities across the hospitals.
  • Is the designated central point of contact for recruitment resources
  • Fields urgent, on the spot questions with regards to recruitment.
  • Receives and tracks recruitment issues at the sites.
  • Schedules and facilitates weekly check-in sessions and on-site visits.
  • Reviews and revises referral process and recruitment workflows as needed.
  • Checks adherence to study protocols and/or making and tracking changes/ amendments across hospital sites.
  • Identifies and troubleshoots issues related to participant recruitment, enrollment, and associated data collection.
  • Designs, develops and adapts training curriculum, and provides training and coaching for recruitment team.
  • Sets and facilitates cross-site TEC4Home-BP knowledge sharing sessions and meetings.
  • Develops and distributes training materials and learning resources

Database management:
- Responsible for the design, development and operationalization of database(s) for screening and research data collection.

  • Builds and updates forms.
  • Ensures compliance with privacy and ethics requirements.
  • Liaises with technical personnel.

- Plans and provides training for TEC4Home-BP team members on use of databases.
- Design and develop data quality assurance plans, and performs or ensures designated resources preforms quality assurance checks on data.
- Implements and communicates changes and updates to TEC4Home-BP recruiters.

Document control and management:
- Responsible for planning, creating or managing the creation of recruitment and other project materials, as well as ensuring accessibility to these materials
- Makes revisions and updates to materials (as needed/ directed).
- Assigns printing and material prep activities to students and research assistants.

- Some evening and weekend work may be required.
- Travel to meet with various program stakeholders and site visits is required.
- Performs other duties consistent with the skills and level of the position.

Consequence of Error/Judgement

The TEC4Home Recruitment Manager is expected to maintain a close working relationship with the Research Portfolio Coordinator, Associate Lead, Principal Investigators, project team and stakeholders in order to ensure the quality and timeliness of outcomes as well as adherence to resource allocations.

The TEC4Home Recruitment Manager will need to make professional decisions and recommendations on aspects of work related to study recruitment activities. Inappropriate judgement could result in delayed or compromised deliverables, which could in turn prevent the project DigEM from obtaining future funding.

Supervision Received

Functional and work supervision will be provided by the Research Portfolio Coordinator at DigEM. Works under general direction.

Supervision Given

Assigns and oversees recruitment activities (ex. participant enrollment, collection of data, etc.) performed by TEC4Home-BP recruiters including research assistants, students, and volunteers. Demonstrates techniques and provides coaching support and feedback to team members.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

Education: Masters preferred.

Experience : Experience in clinical settings and health service research are assets. Experience with clinical research preferred.
